Role Overview

PTS Singapore is seeking a Facilities Coordinator to support a high-profile multinational financial services client located in a 20,000 over sqft Grade A office in the Central Business District.


Coordinate with stakeholders to maintain, handle and build office equipment, physical space, telecommunications systems and all other facilities at regional offices

Perform full reception function in a professional manner including:

• Answer telephone calls, take messages and greet guests

• Manage the incoming mails/parcels and distribute to the relevant departments

• Provide administrative support, e.g. stationery, printing, business card ordering

• Perform audio/visual system support

• Manage meeting rooms to ensure they are tidy and clean prior to and after each meeting

• Monitor Conference Room Tracker

• Greet and escorting guests

• Manage tea ladies for food and beverages

• Maintain the office and pantry supplies

• Arrange access cards for office and parking access

• Update contact list

• Handle invoices

• Assist colleagues in copying, scanning, lamination, binding on request

• Make stands, notice, and labels of the office

• Assist in any events or ad hoc projects

Experience and Characteristics

This role is a unique blend of office facilities coordination and front-of-house responsibilities and demands a commitment to ensuring a high standard of service to ensure a seamless, hassle-free office environment for both staff and visitors.

An ideal candidate would be someone with a strong customer service ethos and proven experience in a customer facing role (such as hospitality / front-of-house) and facilities coordination / project management.

Candidates should have practical problem-solving skills and be able to work independently under pressure in a fast-paced environment with relevant experience in managing internal stakeholders, vendors/sub-contractors in a hospitality or service setting.

Other Qualifications and Skills

  • Proven work experience as a Facilities Coordinator, Receptionist, Front Office Representative or similar role

  • Superior customer service orientation

  • Detail-oriented with strong organisational skills

  • Mature, responsible and flexible when the role requires

  • Proactive, self-driven, with excellent communication and interpersonal skills

  • Proficiency in Microsoft Office Suite

  • Comfortable / have hands-on experience withmodern office equipment, or wiling to learn if required
